How do I change my Outlook display name when sending email?

There are three names used at UF: legal name, display name, and directory name.

Changing the legal name must be done through your HR office. However, the display name and directory name can both be updated by you through myUFL. The display name is used by various UF systems like Canvas, myUFL, and others. The directory name is used within Microsoft systems like OneDrive, Teams, and Exchange Online and, as such, is used as your name for outgoing email messages.

The university uses a directory name standard of “[Last Name],[First Name] [Middle Initial]”. Deviating from the standard causes problems when searching the global address book in Outlook; so, it is recommended to use the standard format (note: there isn’t a space after the comma).

To update the display name or directory name:

  1. Login to my.ufl.edu.
  2. Navigate through Main Menu -> My Account -> Update My Directory Profile

    A new tab will be opened in your browser
  3. Click the ‘Edit’ button in the ‘Name’ section of this new screen.
  4. Make any edits to the display or directory name.
  5. Click the ‘Submit’ button to save the changes.

Synchronization between the UF directory and other UF and Microsoft systems must happen before these changes are active which can take some time. Don’t expect to see the change immediately. If you don’t see the update within one business day, verify the change occurred by navigating to your information again in myUFL. If there are problems, your local IT office may be able to help but they may have to refer people to the UF Helpdesk.
